Rental Terms and Conditions

Ben Rental Car — No hidden costs for all rentals. By completing a reservation or accepting delivery of a vehicle, the renter accepts these Rental Terms and Conditions together with the booking confirmation and rental agreement.

1. General

These terms apply to the rental of cars, bikes, quads and buggies supplied by Ben Rental Car. The final booking confirmation and rental agreement identify the vehicle, rental period, pickup and return location, selected extras and the applicable price.

2. What is included in the rental price

Rental prices include 24% VAT and unlimited mileage. Every rental includes Third Party Liability (TPL), Collision Damage Waiver (CDW) and Theft Protection (TP), subject to these terms and the applicable insurance policy. The service includes 24-hour roadside assistance throughout Crete. Baby seats are available on request, subject to availability. Additional drivers carry an extra charge.

You may upgrade to Full Insurance with zero excess for extra peace of mind. Full Insurance is not valid for drivers aged 18–21.

3. Driver eligibility and driving licences

Any person holding a valid driving licence may rent a vehicle, subject to the conditions of the rental agreement. Drivers aged 18–21 can rent a vehicle with a small daily young-driver fee. Only authorised drivers named in the rental agreement may drive the vehicle.

At pickup, the renter must present the original identity card or passport and the original driving licence. Licences issued by EU countries, the USA, Canada and Australia are accepted. For other non-EU licences, the licence must be written in Latin characters, be accompanied by an official translation, or be accompanied by a valid International Driving Permit (IDP) issued according to the Vienna Convention (1968). If you are unsure, please send us a photo of your licence before booking and we will confirm whether it is valid for your rental.

4. Booking, payment and security deposit

No credit card is required to make a booking and no security deposit is requested. No money is blocked on your card. Payment may be made in cash, by bank transfer or by an accepted credit card, prior to or upon delivery of the vehicle. The total agreed rental fee is stated in the booking confirmation or rental agreement.

Rental prices cover only the services expressly included in the booking confirmation or rental agreement. Fuel, traffic fines, tolls, additional driver charges, optional extras, costs caused by a breach of these terms and any other charges not expressly included remain the renter’s responsibility.

5. Cancellation

Cancellation and refund of any amount already paid are available when Ben Rental is notified at least 72 hours before the scheduled pickup time. Amounts already paid may be non-refundable when cancellation is made later than 72 hours before pickup.

6. Rental period, pickup and return

The rental period begins on the agreed pickup date and time and ends on the agreed return date and time. The vehicle must be returned with its registration documents and related papers at the agreed location and time, in the same condition as received, allowing for normal wear and tear.

The booking system calculates the total price from the selected pickup and return dates and times. For daily rentals, a return selected after 09:00 may add an extra rental day. Any extension must be authorised by Ben Rental in advance. Late return without prior notice may result in an additional daily rental charge and other losses caused by the delayed return.

7. Pickup and delivery locations

Pickup and return are available at our Stalida and Sisi offices, Heraklion Airport and Port, and selected hotels or delivery areas. Availability and any applicable delivery fee are shown when booking details are selected. For airport reservations, please provide your flight information where requested. We monitor arrivals and will assist in the event of a flight delay.

8. Fuel policy

The vehicle is delivered with a specific fuel level and must be returned with the same level. No refund is provided when more fuel is left in the vehicle at return. If the vehicle is returned with less fuel, the missing fuel and any applicable refuelling service charge may be payable.

9. Insurance and exclusions

Insurance cover is valid only when the vehicle is used in full compliance with these terms, the rental agreement and applicable law. Full Insurance with zero excess is an optional upgrade and is not available to drivers aged 18–21.

Insurance does not cover, among other things, damage to the underside of the vehicle from driving off paved roads or on unpaved areas; damage or wear to the interior; loss or damage to luggage or personal belongings; loss or damage to keys; damage caused by pets, smoking or improper use; damage during transport by ship, train or other means; malicious acts or riots; driving under the influence of alcohol, drugs or other intoxicants; accidents caused by an undeclared driver; and incidents not reported to Ben Rental promptly with the required report.

10. Permitted use and restrictions

The vehicle may be used only in Greece and only by authorised drivers. It must not be used for illegal purposes, racing, competitions, towing, subleasing, transporting persons or goods for hire, carrying prohibited or dangerous materials, or any activity that may endanger the vehicle, its occupants or third parties. Driving outside Greece requires prior written approval from Ben Rental.

11. Vehicle condition, damage and keys

The vehicle is supplied in a clean and roadworthy condition. The renter must take reasonable care of the vehicle, follow the operating instructions provided at delivery and must not carry out repairs or modifications without Ben Rental’s prior written consent. In the event of loss of keys, keys locked inside the vehicle, damage, malfunction or loss, the renter must contact Ben Rental immediately. Charges may apply where the renter is responsible under these terms or the applicable insurance policy.

12. Breakdown, accident, theft or other incident

Contact Ben Rental immediately in the event of a breakdown, accident, theft, fire or other incident. In case of an accident, notify the police, collect the names and contact details of witnesses and other involved parties, take photographs where safe, do not admit liability on behalf of any party, and complete the required accident or incident report. An insured event must be notified to Ben Rental in writing no later than 12 hours after it occurs.

13. Fines and violations

The renter is responsible for traffic fines, parking charges, tolls, administrative penalties and any related costs incurred during the rental period. The renter must promptly provide accurate information and cooperate with Ben Rental and the competent authorities when required.

14. Personal data

Ben Rental processes personal data for the performance of the rental agreement, fulfilment of legal obligations, claims management and fraud prevention, in accordance with Regulation (EU) 2016/679 (GDPR) and applicable national law. 15. Governing law and jurisdiction

These terms and the rental agreement are governed by the laws of Greece. Any dispute arising from the rental agreement is subject to the jurisdiction of the Courts of Heraklion, unless mandatory law provides otherwise.
